Using the template
- Put your logo at the top and replace the agency line with your own name, phone and email.
- Fill the quotation number, date and a valid-until date.
- Write one line per day, then the hotels table.
- Type the price per adult, per child and the trip total, and say whether GST is included.
- List inclusions and exclusions, your payment schedule and your terms.
- Save as PDF, and send the PDF.
What changes by trip type
Domestic
Customers compare on the hotels and the car. Name each hotel and the room type, say whether the car is private and air-conditioned, and be clear about what sightseeing is included and what is only suggested.
International
Add the visa, travel insurance and flights, each marked included or not. Say that TCS is collected on top of the package price at the rate in force on the payment date: 2% from 1 April 2026. Give passport validity as a condition, since a passport that runs out too soon ends the trip at the airport.
Groups and fixed departures
Quote per person on twin sharing, with the single supplement as its own line. State the minimum group size the price depends on, and the date by which names and payments are needed to hold the seats.
What never goes on a quotation
- Your costs and markup. The customer sees prices, never what you paid.
- A price without a validity date. Rates move, and an open-ended price is yours to honour.
- "Taxes as applicable" with no detail. Say what is included.
- Vague hotel names such as "a 4-star in Jaipur". Customers look hotels up.
