The format, top to bottom
- Cover. Your logo, the trip title, the customer's name, the dates and the travellers. One strong photo of the destination does more than three small ones.
- The trip at a glance. A short table: day, date, from and to, overnight at. The customer should grasp the whole trip in ten seconds.
- One block per day. The day and date, a title, then morning, afternoon and evening, and the overnight stay with meals and travel time.
- Hotels. City, hotel, room type, meal plan and nights.
- Inclusions and exclusions. The same lists as the quotation, so the two never disagree.
- Before you travel. Documents, what to pack, weather, check-in times.
- Contacts. You, the driver, a local contact, with phone numbers.
A day, written well
An example day. It gives times and distances, not adjectives:

Rules that make an itinerary easy to read
- Dates on every day. "Day 3" means nothing to a customer checking which day the museum is closed.
- Travel time for every drive. "Jodhpur to Udaipur, about 5 hours by road" prevents the one complaint you can predict.
- No prices. Money belongs on the quotation and the invoice. An itinerary gets forwarded to the whole family; your price should not travel with it.
- A photo per day, not per paragraph. It helps the customer picture the trip without turning the PDF into a brochure they scroll past.
- Send a PDF. It keeps its layout on WhatsApp and prints cleanly.
After the booking: the trip document
Once the trip is booked, the customer needs a different document: hotel confirmation numbers, the driver's name and number, pick-up times and what to pack. Keep the sales itinerary and the travel document separate, so the first can be generous and the second exact.
